Let’s face it, team engagement is a challenge that many companies struggle with. Low engagement leads to decreased productivity, higher turnover rates, and overall dissatisfaction. But here’s the good news: there’s a powerful tool that can help you build a more engaged, motivated team—and that tool is hosting a health fair.

Health fairs have long been used to promote wellness in the workplace, but they offer much more than just education on physical health. When done right, they can dramatically boost team engagement by providing employees with valuable wellness resources, fostering a sense of community, and showing them that their well-being is a top priority. However, organizing a health fair is not as simple as picking a few vendors and setting up tables. There are a few key pitfalls to avoid, based on my own experiences.

So, let’s dive in! Here are three common mistakes I made when planning my first health fair, and how you can avoid them to create a more successful and engaging event.

Mistake #1: Not Hosting a Health Fair at All

It may sound obvious, but the biggest mistake you can make is not hosting a health fair. In fact, I waited four years into my role as a corporate wellness director before I finally decided to organize one. The result? Employee engagement skyrocketed. It became clear that while a company gym is great, it only appeals to a select group of fitness enthusiasts.

A health fair, on the other hand, offers something for everyone. Whether your employees are into fitness, mental health, nutrition, or just looking for simple wellness tips, a health fair can engage people across the board.

By inviting a range of vendors from different areas of wellness—like massage therapists, nutritionists, chiropractors, and even financial planners—you’re providing an opportunity for every employee to find something valuable. Health fairs allow employees to explore services they may not have considered on their own, all within the comfort of their work environment.

The key takeaway? Don’t wait. If you're not currently hosting health fairs, you’re missing out on a great opportunity to connect with your team and support their holistic wellness needs.


Mistake #2: Failing to Vet Your Vendors

A health fair is only as good as the vendors you bring in. That’s why failing to properly vet your vendors is another mistake you don’t want to make. When I planned my first health fair, I invited a chiropractor who I thought would be a great fit for the event. Unfortunately, they turned out to be more interested in selling long-term memberships than providing quality care or engaging meaningfully with my team. Needless to say, that didn’t go over well with my employees, and it left some of them feeling like their wellness needs weren’t truly being considered.

The lesson here is simple: Do your homework. Before inviting vendors, take the time to interview them. Ask about their services, their past experience at similar events, and how they plan to interact with your team. Are they just there to promote their business, or are they truly invested in helping your employees?

It’s also helpful to gather feedback from your team after the event. What did they enjoy? What could have been better? Use this feedback to refine your vendor list for future events. Remember, it’s not about having the most vendors; it’s about having the right vendors who align with the needs and interests of your employees.


Mistake #3: Not Having a Plan

If you don’t have a plan, your health fair could turn into chaos. Lack of planning is one of the quickest ways to ruin an otherwise fantastic opportunity for team engagement. And trust me, I learned this the hard way.

At one of my early health fairs, I forgot to confirm with one of the vendors, and they didn’t show up. Not only was there an awkward, empty table, but it also reflected poorly on me and my organization. Needless to say, some employees were left feeling frustrated and unimpressed.

The solution? Planning is everything. From scheduling your vendors to confirming their attendance, every detail matters. Create a detailed checklist that includes everything from booking the venue, securing vendors, and arranging the logistics (like tables, chairs, and any necessary equipment), to the smaller, often-overlooked details like confirming vendor attendance a few days before the event. And don’t forget about refreshments! Offering lunch or beverages to vendors and employees alike can keep the energy high and show your appreciation for everyone’s participation.

In short, make sure your health fair runs smoothly by staying organized and having a clear plan of action.


Bonus Tip: Monthly Wellness Days for Continuous Engagement

While health fairs are a fantastic way to jumpstart your team’s wellness journey, you don’t have to stop there. In fact, monthly wellness days can take things to the next level by keeping wellness at the forefront of your workplace culture.

Each month, you can focus on a different wellness theme, such as mindfulness, financial health, sleep, or nutrition. For instance, during a “Sleep Day,” you could invite a sleep expert to share tips on better sleep hygiene or introduce tools like the Calm app, which we’ve successfully implemented in some workplaces to help employees manage stress and improve their sleep habits.

The best part? These monthly wellness days are easy to organize and don’t require the same level of planning as a full-blown health fair. But they keep the momentum going, ensuring that your team stays engaged with their wellness journey throughout the year.


Interactive Components: Get Your Team Involved

One of the easiest ways to increase engagement is by incorporating interactive elements into your health fairs and wellness days. Whether it’s a yoga demo, a quick nutrition workshop, or even a mini fitness challenge, giving your team opportunities to participate actively will make the event more memorable and enjoyable.

Plus, these interactive elements help build camaraderie. Team members who might not normally work together get the chance to bond over shared experiences, creating a stronger sense of community in the workplace.


Community Involvement: Align Wellness with a Purpose

Another innovative idea is to incorporate community involvement into your health fairs. Recently, I helped organize a charitable event that was structured like a health fair, and it was a huge success. We partnered with local charities, which not only gave our employees an opportunity to learn about ways they could give back but also enriched the sense of purpose and engagement within the company.

Aligning your wellness initiatives with a broader mission, such as supporting local charities, is a win-win. Employees feel good about participating in something that has a positive impact, and it strengthens the connection between the company and the community.
